Ultimate Staffing is actively seeking an experienced Administrative Assistant to join their client's dynamic team in California. The ideal candidate will be organized, detail-oriented, and able to manage multiple tasks efficiently. This position is 100% onsite and offers a collaborative work environment along with excellent benefits.
Responsibilities:
- Provide administrative support to ensure efficient operation of the office.
- Answer and direct phone calls, manage emails, and schedule appointments.
- Organize and maintain files and records, ensuring they remain updated and easily accessible.
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
- Coordinate meetings and assist with event planning as needed.
- Support the team with project-based work and special assignments.
- Assist in the preparation of regularly scheduled reports.
- Ensure office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times.
- Provide general support to visitors and act as a point of contact for internal and external clients.
Requirements:
- High School diploma is required.
- Strong organizational skills with the ability to multitask and prioritize work.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Attention to detail and problem-solving skills.
Work Hours:
Monday - Friday, first shift
